There are several ways to add a new client to BrokerCentral, depending on where you are in your workflow.
You may want to:
Create a new Lead that will later become a client.
Add a new client while creating a Proposal.
Create a client directly from the Clients page.
Whichever route you choose, BrokerCentral uses the same intuitive Add Client modal, ensuring a consistent and straightforward experience every time.
In this article, we'll explore each of these methods and show you how to quickly add new clients to the system.
What is a client?
It might sound like a simple question, but it's important that we're all using the same terminology.
In BrokerCentral, a Client is the person or organisation that you're arranging insurance for. A client can be one of two types:
Personal – An individual, such as someone arranging their household or motor insurance.
Commercial – A business or organisation.
Commercial Clients and Contacts
A commercial client may have multiple Contacts linked to their client file. These contacts are the individual people you deal with, such as directors, office managers or finance staff.
For example, a company called ABC Builders Ltd would be the Client, while John Smith (Director) and Sarah Jones (Accounts Manager) would be Contacts linked to that client.
Contacts Linked to Multiple Clients
The same contact can be linked to more than one client file.
For example, John Smith may:
Have a Personal client file for his household insurance.
Be linked as a Contact on ABC Builders Ltd for the company's Commercial Combined policy.
This allows BrokerCentral to accurately reflect real-world relationships while keeping your client records organised and avoiding duplicate contact information.
Client Status
Each client is assigned a status to reflect where they are in their journey with your brokerage.
Inactive – The client has no active policies. This may be because no policies have been recorded, their proposal was not taken up, or all of their policies have lapsed, expired or been cancelled. New clients are initially created with this status until a proposal is started.
Prospect – A new client for whom a proposal has been started, but does not yet have any active policies. This indicates they are currently being quoted or considered for cover.
Active – The client has at least one policy currently on cover. This status is assigned automatically once a policy becomes active.
Creating a client from the client page
To create a new client, navigate to the Client Module (on the left hand side of the screen) and click the + Create Client button from the main navigation.
The Add Client window will open, guiding you through the client creation process step by step.
Client type (Personal or Commercial).
Client name and contact details
Address information
Any Introducer or Producing Broker details
The Account Handler
Once you've completed the required information, click Create Client.
BrokerCentral will immediately create the client record and take you to the newly created client file, where you can begin adding policies, proposals, documents, notes, and other information.
Creating a client from the Proposal page
This works in much the same way as adding a client from the client page.
From the proposals module, click + Create Proposal. You'll then be prompted to enter a client name. If the client doesn't exist yet in the system you'll be asked if you want to create this person/company as a new client, opening the Add Client Modal as above. (The only difference being that when you've completed the client details, the modal will take you back to the proposal instead of the client file).
Creating a client from a lead
If you already have leads recorded in BrokerCentral, you can easily convert them into clients as you begin working with them. If not, you can create a new lead first.
Creating a Lead opens a window very similar to the Add Client modal, allowing you to capture key information.
From Lead to Prospect
Once a proposal is created for a lead, BrokerCentral automatically converts them into a Client with a Prospect status.
At this point:
The record moves from the Leads area to the Clients area.
Any information entered when the lead was created is automatically carried across to the new client file.
The proposal is linked to the client, allowing you to continue the sales process without re-entering any information.
Manually Converting a lead to a client
You can manually convert a lead to a client without starting a proposal. Simply find the lead you wish to convert, click the action button (three dots) at the end of the row and click Mark as Client.
Adding an existing policy to a new client file
There may be occasions where you need to add an existing policy to a client rather than creating a new proposal.
This is particularly useful if you're:
Migrating clients from another system.
Recording a policy that was placed outside of BrokerCentral.
Adding historical policies to maintain a complete client record.
To add an existing policy, open the Client file, click the Actions button (the three-line menu in the top-right corner), and select Add Existing Policy.
You'll then be guided through the process of entering the policy details, allowing the policy to be recorded against the client without creating a proposal.
This ensures your client file contains a complete record of all policies, regardless of how they were originally placed.
If you select Add Existing Policy, the system will open the Edit Quote screen.
You can:
Fill in the details manually, or
Drag and drop the policy document into the “Drop files here” section to upload.
