There are several options for syncing your emails with BrokerCentral and sending emails from within the system. This article predominantly covers how to sync with Microsoft Office 365 so that emails can be sent via Outlook.
You can find the email settings by clicking on the cog icon at the top of the screen.
Sekect System Settings > Email Settings
Here you will find the different options for syncing emails. These are:
Send emails via BrokerCentral without setting up custom domain name
With this option selected, any emails sent within BrokerCentral will be sent from from [email protected]
Send Emails Using Microsoft Office 365 (Recommended)
With this option selected, any emails sent within BrokerCentral will be sent using your Office 365 account. This will allow you to send emails from your own email address within BrokerCentral. Sent emails will also appear in your email clients Sent folder.
Send Emails Using Gmail / Google Workspace
BrokerCentral can send emails on your behalf using your Gmail or Google Workspace account. This allows you to send emails from your own address and have sent emails appear in your Gmail Sent folder.
Each user will need to authorise their own Gmail account before being able to send emails.
Send emails with your own SMTP server
This means emails generated within BrokerCentral are sent through your organisation’s own mail server, giving you greater control over how outgoing emails are handled and helping them align with your existing email setup.
Ideally, you will be using Office 365 as this can be fully integrated to the BrokerCentral system and all email correspondence will appear on your clients file.
Read on for more information on how to link BrokerCentral with Microfost Office 365.
Note: Email sync cannot be set up directly with the standalone Microsoft Outlook application. The integration connects to your Microsoft 365 account, which includes and synchronises with Outlook.
You will need your Office 365 Administrator to authorise the integration. This is usually whoever manages your company's Microsoft 365 setup - often your internal IT person, an external IT provider or your Managing, Technical or Operations Director.
Click Send authorisation email to admin
Note: If you are the Office 365 administrator for your company, you can skip this step and just click "Authorise" which will open the Office 365 login modal immediately.
Your Office 365 Administrator will then receive an email asking them to sign into their Office 365 account
Once signing in, they simply click Accept
Once this is completed, select the option to Send Email Using Microsoft Office 365.
Please ensure that the email address that you use to log in to BrokerCentral matches the Office 365 account. e.g. If you are logging in to BrokerCentral with a personal gmail address, you will not be able to send emails from your Office 365 account.
