How to add/create a new lead in BrokerCentral

You may have bumped into a potential customer at a trade show, or found someone online who’s browsing for insurance options. Maybe now isn’t the best time to send a full-blown proposal, but you also don’t want to lose track of this potential client. That’s where the Leads Manager comes in handy. It allows you to keep a list of prospects and organise them for future follow-up.

By storing these leads, you ensure you’re ready to reach out when the time is right. Each lead you add is also automatically saved as a client with the status 'Prospect', creating a client file that can be used later to pre-fill proposals and streamline the onboarding process. It’s the perfect way to keep your pipeline warm and opportunities organised.

IMPORTANT! If you want to create a new proposal immediately, this isn't for you! This is only for leads who you want to keep track of with the intention of continuing your work at a later date!

The Leads Dashboard provides a clear overview of all the prospects in your list, enabling you to track progress and assign leads to other team members, ensuring that no opportunity slips through the cracks. It’s a powerful way to organise potential clients and keep your brokerage prepared for growth.

Adding a new lead is simple and quick, and it’s the first step in bringing a potential client on board. Here’s how you can do it:

1. Go to the Leads Dashboard

Click on the Leads Dashboard icon in the left-hand navigation menu. This takes you to the central hub where all your leads are managed.

2. Click "+ Create Lead"

In the top right-hand corner, you’ll see a "+ Create Lead" button. Click it to start adding your new lead.

3. Select the Lead Type

A prompt will appear asking, "What type of lead are you adding?" Choose one of the following:

  • Commercial: For example a private limited company, sole proprietor or a charity.

    For private limited companies, our in-built companies house lookup will help you fill out the details such as address and companies house number.

  • Personal: Choose this option if the client is an individual who is not a company. This is used for personal lines insurance products, such as home or auto insurance. You’ll need to enter the individual's contact details manually.

4. Add the Main Contact

Now it’s time to specify "Who is the main contact?" *unless the lead is personal and you will already have put these details in.

If the contact is already in the system (for example, if the lead is linked to a producing broker and you want the producing broker to be the main contact), start typing their name and select it from the list.

If the contact is not in the system, keep typing their name, and an option will appear to "Create [name] as new contact". Press Enter to add them.

A new screen will pop up for you to fill in the contact’s details, including email and phone number. The address will auto-fill based on the insured address you entered earlier.

Click Create to finalise the main (new) contact.

5. Return to the Leads Dashboard

Head back to the Leads Dashboard, and you’ll see your newly added lead listed. Now you’re ready to start the proposal process and take the next steps with your potential client!

Bulk Upload of Leads

If you have a large number of leads to add at once, you don't need to create them individually.

For example, you may have purchased a book of leads, attended a networking event, or received a spreadsheet containing multiple prospective clients. BrokerCentral allows you to import these leads in bulk using a CSV file.

Importing your leads

Navigate to the Leads Dashboard.

Next to + Create Lead, click the drop-down arrow and select:

Import Leads → Import lead data from spreadsheet

Upload your CSV file to begin the import.

Once uploaded, BrokerCentral will allow you to match the column headings in your spreadsheet with the corresponding fields in BrokerCentral.

Where possible, the system will automatically match columns it recognises, but you should still review these before completing the import.

Formatting renewal dates

Renewal dates must use the following format:

yyyy-mm-dd

If your spreadsheet uses a different date format, you'll need to update it before exporting the file as a CSV.

In Microsoft Excel:

  1. Open the spreadsheet containing your lead data.

  2. Find the column containing the renewal dates.

  3. Highlight the column and select Format Cells.

  4. Open the Number tab.

  5. Select Custom from the Category list.

  6. In the Type field, enter:

yyyy-mm-dd

Click OK.

Once the dates are formatted correctly, save or export the spreadsheet as a CSV file and upload it to BrokerCentral.

Important: Make sure you review your data before importing it, particularly renewal dates and column mappings, to ensure the information is added to the correct fields.
